Privacy Policy
BB Fleets LLC ("we," "us," "our") operates this website at bbfleets.com and the AI dispatcher named Hank that runs on it. This policy explains what we collect, why, and how to control it. We try to keep it short and honest.
1. What we collect
Information you give us directly
- Contact form submissions: name, company (optional), email, phone, service interest, and the message text you provide. We need this to respond to your inquiry.
- Advertising program inquiries: name, company, email, phone (optional), tier interest, commitment preference, and the brand description you provide. Same purpose — we need it to respond.
- Chat conversations with Hank: the text or voice you send to our AI dispatcher and the responses he gives. Conversations are processed via PilotCast AI (our parent platform) to generate Hank's replies.
Information collected automatically
- Standard server logs: IP address, browser type, pages visited, referrer URL, timestamps. These help us debug issues and understand site traffic. We do not sell this data.
- No cookies for tracking: we do not use cookies for advertising or third-party tracking. Hank's chat session uses a session identifier solely to maintain conversation continuity within a visit.
2. How we use it
- To respond to your inquiry (freight quote, advertising proposal, general question).
- To improve Hank's accuracy. Anonymous, aggregated conversation patterns inform what topics he needs more training on. Individual messages are not used for advertising, sold, or shared outside the BB Fleets / PilotCast operational stack.
- To detect abuse — repeated spam, brute-force form submissions, or scraping. Rate-limit logs are kept for 30 days.
3. How we share it
We do not sell your personal data. We share data only when:
- You ask us to. Example: forwarding your inquiry to a partner carrier when we can't take a specific load ourselves.
- Our service providers need it. PilotCast AI processes Hank's conversations on our behalf. Hosting and email providers (Cloudflare, the email host) handle infrastructure. All are bound by data-handling agreements.
- Law requires it. Subpoena, court order, or other legal process. We push back on overly broad requests.
4. How long we keep it
- Inquiry emails: retained as long as the customer relationship continues, plus 3 years for tax / FMCSA compliance. Stale leads (no response after 12 months) are purged.
- Chat conversations: retained for 90 days for quality / abuse review, then deleted.
- Server logs: 30 days.
5. Your rights
If you're in California, the EU, the UK, or any jurisdiction with data-protection law, you have the right to ask us to:
- Tell you what data we have on you (access request).
- Correct anything that's wrong.
- Delete it (subject to legal retention requirements above).
- Stop processing it for any purpose other than the one you originally agreed to.

6. Children
Our services are for commercial freight, advertising, and business inquiries. We do not knowingly collect information from anyone under 18. If you believe a child has submitted information through our site, contact us and we'll delete it.
7. Changes to this policy
We'll update this policy when the underlying practices change. The "last updated" date at the top reflects the most recent revision. For material changes (collecting new categories of data, sharing with new partners), we'll add a notice on the home page for 30 days.
